Position Description
Bonfire Collective is looking for a part-time Project Manager to join our team. This person will oversee internal workflows across creative, strategy, media and accounts—keeping projects on time, on brief, and on budget. This role is central to resource planning, contractor coordination, and day-to-day project execution in a fast-paced agency environment.

Essential Duties and Responsibilities
Project Coordination:
- Build and maintain detailed project schedules, timelines, and task assignments
- Coordinate deliverables between creative, strategy, media and account teams
- Track progress across multiple projects and flag issues before they become blockers
- Schedule internal reviews, check-ins, and production milestones
Workflow & Process Management:
- Own day-to-day project and time management tools (e.g. Monday.com and Toggl), ensuring accurate updates and timelines
- Create standards and regularly improve internal workflows and documentation
- Route creative assets for feedback, revisions, and final approvals
- Maintain status reports and weekly workback schedules for internal use
Team Support, Resourcing & Contractor Coordination:
- Partner closely with Account Team, Creative Director, Media Director and Strategy Lead to forecast upcoming resource needs
- Manage internal bandwidth by assigning tasks based on team capacity and deadlines
- Identify when external support is needed (e.g. freelance designers, copywriters, video editors, media buyers, etc.)
- Source, onboard, brief, and manage freelancers or contractors as needed
- Maintain an active roster of trusted contractors and help vet new ones based on project type and quality
- Track contractor hours, deliverables, and invoicing in coordination with the operations or finance team
- Ensure all collaborators have what they need—briefs, timelines, assets—to succeed
Team Support & Communication:
- Act as a liaison between departments to ensure clarity of expectations, priorities, and deadlines
- Support producers, art directors, and strategists by anticipating resource needs
- Keep the team focused and organized through clear communication and proactive planning
Qualifications:
- 3–5 years of experience in project management, preferably at a creative or marketing agency
- Proven ability to manage multiple projects simultaneously with varying timelines and scopes
- Strong understanding of the creative development lifecycle, from brief to concept to delivery, including branding, content, digital, print, and video
- Familiarity with resource planning and team bandwidth management
- Experience working with and managing freelancers or contractors (sourcing, onboarding, briefing, and tracking)
- Proficient in PM tools (e.g., Asana, Trello, Monday, Wrike, etc.)
- Skilled in using Google Workspace, Slack, and basic file-sharing and collaboration tools
- Highly organized, deadline-driven, and capable of working in a fast-paced, team-oriented environment
- Strong written and verbal communication skills, with the ability to convey information clearly and diplomatically
- Comfortable facilitating internal meetings, including kickoffs, check-ins, and reviews
- Able to anticipate challenges and proactively develop solutions to keep work on track
- Experience working with cross-functional creative teams—account managers, designers, copywriters, developers, producers, strategists, media specialists
- Knowledge of creative file types, production timelines, and basic creative terminology is a plus
- Bonus: Familiarity with budget tracking and basic invoicing processes

Location
As a company, we offer flexibility on where, how, and when you work, and this position can be fully remote. However, if you’re located in the Denver–Boulder metro area, there is the opportunity for on-site or partial on-site work. Bonfire Collective is based in a beautiful office in downtown Golden, Colorado.
Hours
15-20 hours per week to start on retainer as an independent contractor, preferably five days per week. Opportunity to increase hours over time.
Compensation
$40–60 per hour depending on experience, efficiency, and quality of work. Opportunity to increase rate over time. Long-term potential for employment.
