The Opportunity
POW is seeking a part-time Office Administrator located in Boulder, CO! The Office Administrator is a vital member of our team who ensures that daily office operations run smoothly and efficiently. This role supports administrative functions, manages office systems, checks processing, shipping, and assists with internal logistics. Ideal candidates are organized, reliable, and energized by keeping things running behind the scenes.
Location: This position will be located out of our Boulder, CO headquarters. The responsibilities of this role require this position to be in the office at a minimum of 1 time per week.
Hours: This is a non-exempt, part-time, year-round position. The weekly hours of this position are flexible and range from 8-10 hours per week. A higher volume (approx. 10-15 hours per week) of work is typically expected during Q4 and Q1, aligning with year-end activities, donations, and annual planning.
Key Responsibilities
- Support all regional POW Hub office operations, including ordering supplies, office set-up, merchandise restocking for hubs, and handling shipping requests
- Process weekly mail and checks at the local Boulder office
- Support scheduling and logistics for internal meetings, all-staff gatherings, and trainings
- Oversee POW’s info@ email and main phone line, answering general inquiries, including returning phone calls and emails in a timely and responsive way
- Maintain contact lists, internal directories, and digital filing systems
- Assist with briefings, research, and special projects, as needed
- Track and organize administrative receipts and records for the finance team
- Organize and manage POW event storage, including shipping items and organizing product merchandise, and gifts
- Provide occasional support for outreach and/or event logistics

Required Qualifications
- Proven experience (1-2 years) in office administration, administrative support, or a similar role
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent verbal and written communication skills
- Proficiency with Google Workspace (Docs, Sheets, Calendar, Gmail)
- Attention to detail and a high degree of accuracy
- Ability to work independently, take initiative, and troubleshoot problems
- Ability to thrive in a small, fast-paced environment
- Comfortable managing confidential and sensitive information
- Reliable transportation and a valid driver's license. Driving is required to drive to storage, shipping, and office errands. A bus pass will be provided, but a car will be necessary at times and more efficient for some errands.
Preferred Qualifications
- Experience working in a nonprofit or mission-driven organization
- Experience with tools like Slack, Asana, or Trello, Salesforce, or other donor/CRM databases
Compensation:
This is a part-time, non-exempt position that will work a fluctuating schedule of 8-12 hours per week. The hourly rate is commensurate with experience, with a range of $26 - $28. This position is not eligible to receive health benefits, paid time off (except as required by law), or holiday pay. This position is eligible to participate in a retirement account and a match. Mileage will be reimbursed at the standard IRS rate for local errands in which a personal car is used.
