About the job

As a Wholesale Operations Specialist, you will work closely with international partners and sales representatives to process, track, and manage orders from receipt through fulfillment and invoicing. This role ensures accuracy, timely execution, and smooth coordination with both internal teams and external partners to deliver excellent service. Responsibilities include order processing, back-order management, processing and tracking orders, handling customs purchase orders, and completing ad hoc tasks.
What you'll do:
- Process and manage customer orders accurately through EDI and non-EDI systems.
- Monitor order status and ensure timely fulfillment and delivery.
- Coordinate with sales, warehouse, logistics, and finance teams to resolve order issues
- Handle order changes, cancellations, and returns efficiently
- Investigate and resolve order discrepancies, shortages, and billing concerns
- Support audits by providing accurate documentation and order records
- Communicate clearly with internal teams and customers regarding order updates
- Maintain organized and up to date order records (WOL).
- Perform ad hoc tasks and special projects and supporting daily wholesale operations as needed.
- Monitor and check inventory levels to ensure order availability and accuracy, and coordinate with partners when needed.
- Understand and follow partner compliance guidelines to ensure all processes are aligned with required standards.
- Assist in identifying potential risks and opportunities, and report them to the manager.
- Oversee the ordering and packaging process to ensure accuracy, efficiency, and timely fulfillment.
About you:
Required Experience
- Excellent (English) communication skills
- 1–2 years of experience in order management, wholesale operations, retail operations
- Experience handling sales orders, backorders, and order fulfillment processes.
- Knowledge of EDI systems and Netsuite
- Familiarity with inventory management and shipment tracking.
- Strong sense of ownership and accountability in managing orders end to end.
- Comfortable working in a fast-paced, team-oriented environment.
- Willing to work the graveyard shift (9:00 PM to 6:00 AM Philippine time)
- Educational background in Business Administration, Logistics, Supply Chain, or related courses.
Preferred Skills
- Strong attention to detail and organizational skills
- Ability to manage multiple orders and meet deadlines
- Good communication and problem-solving skills
- Proficiency in Microsoft Excel or similar spreadsheet tools.
- Experience with Salesforce, NetSuite and SPS is highly preferred.
- Ability to communicate effectively with warehouse teams and carriers regarding order status, delays, and shipment updates
- Proactive in following up on pending orders and providing timely updates to internal teams or customers.
